Summary

You will be an assistant to the Social Services Director and to the Advocates who assist victims of crime.

Job Description

Essential Duties and Responsibilities

  • Conduct pre-intake assessments.
  • Assist with managing the schedules/ calendars for the director and advocates, including making appointments, sending out client appointment reminders and support group reminders and details.
  • Take notes during survivor intake meetings.
  • Maintain client data in case management system, ensure regular backups are preformed and key stakeholders are receiving data when needed. Run reports for grants and other purposes as needed.
  • Provide logistical assistance for meetings and support services; send invitations to presenters and attendees, manage RSVP’s, oversee the Chat, record attendance; distribute follow-up materials, as appropriate.
  • Coordinate the distribution of equipment and materials to survivors.
  • Become familiar with a broad range of resources and provider; build contacts to grow the network of resources and providers.
  • Identify areas for process improvement.

 

Supervisory Requirements

This position has no supervisory responsibilities.

Qualifications

  • At least 2 years of office administration/management/operations experience and duties related to day-to-day process management and operations.
  • Proficiency with MS office suite, Excel, Word, and PowerPoint.
  • Familiarity with managing virtual meetings and webinars.
  • Attention to detail.
  • Ability to self-manage, multitask, be resourceful, flexible, and able to adjust priorities in a dynamic business environment.
  • Experience as an effective partner and team member
  • Effective written and verbal communication.
  • Ability to practice reflective listening, empathy, offer support and validation.
  • Willingness to take direction and accept feedback.
  • Completion of 40-65 Domestic Violence Advocacy training desired.
  • Experience working with client/customer database.
  • Trauma-informed understanding of domestic abuse and its impact on survivors.
  • Prior experience working with victims of intimate partner abuse.
  • Familiarity with the impact of abuse on survivors.
  • Experience with Zoom.
  • Experience with social media.
  • Experience in Tribal government desired.
  • Ability to maintain confidentiality.

Experience and Eduction

High school diploma; one-year related experience and/or training; or equivalent combination of education and experience in social work, psychology, business administration. 

Skills

LANGUAGE SKILLS:  Ability to read and comprehend instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

MATHEMATICAL SKILLS:  Basic mathematical skills; addition, subtraction, multiplication, division, decimals and fractions.

REASONING ABILITY:  Ability to apply common sense understanding to carry out detailed written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.
